MCP vs. Zapier for insurance agencies

These get compared constantly and they are not the same class of thing. One is a conveyor belt. The other is someone who can be asked.

What Zapier is good at

Zapier fires a fixed sequence when a trigger happens. Form submitted, so create the record. Deal marked won, so send the welcome email. If you can draw the flowchart in advance and it will not change, a Zap is cheap, reliable and boring in the best way.

Keep using it for exactly that.

Where it runs out

Most agency work does not fit a flowchart. “Find the household, check whether this is the same person as the lead from March, look at what is expiring, and set up the right follow-up” is four judgement calls stacked together. You cannot Zap it, because nobody can enumerate every branch ahead of time.

Zaps also do not verify themselves. If the platform reports success on a write that did not land the way it was asked, the Zap moves on happily. And a Zap runs as one shared connection, so everything it does is attributed to the same account.

What MCP does differently

MCP lets a person ask for the outcome in plain language and have the right sequence chosen at the time, including the lookups nobody scripted. In a production implementation it also reads its writes back to confirm they stored, blocks duplicate leads, tasks and tickets before creating them, and attributes each action to the individual who asked.

The short version

• Predictable, high-volume, unchanging? Zapier.
• Judgement-shaped, different every time, needs to be right? MCP.
• Neither replaces the agency management system. AgencyZoom stays the system of record in both cases.

Most agencies end up wanting both, and that is fine. The mistake is trying to force judgement work through a trigger.
