AI in your agency’s hands

AI belongs in your agency’s hands.

AI is safe in an insurance agency when the agency holds it: your data stays in AgencyZoom, every action is tied to a person, and a licensed human still binds. Here is exactly what that means, and what EffiZoom can and cannot do.

Control

Who controls the data

AgencyZoom stays your system of record. When someone on your team asks a question, EffiZoom reads what it needs from AgencyZoom to answer or act, and the record stays where it lives today.

EffiZoom does not store Social Security numbers, driver’s license details, card numbers or other sensitive personal identifiers. API tokens are encrypted with AES-256 at rest and in transit. Claude is used under Anthropic’s commercial terms, which keep your data out of model training.

Accountability

Every action is logged to a person

There is no shared robot account. Each person connects with their own AgencyZoom login, so every note, task and status change shows who asked for it, the same as if they had clicked it themselves.

Every action also leaves a record: what was done, when, and for whom. If something looks wrong, you can see exactly how it happened.

Capability

What the Connector and the Architect can do

  • Find a customer, a household or a policy from messy details.
  • Pull everything renewing in a window and set follow-up tasks.
  • Open, update and close service tickets against your real categories.
  • Read the email and text history tied to a contact.
  • Build AgencyZoom automations in your voice, delivered switched off.

Limits

What they cannot do

  • Act without a person on your team asking.
  • Act as anyone other than the person who asked.
  • Create a duplicate quietly. It checks first and stops to show you.
  • Report a change it cannot confirm. It reads every write back.
  • Bind coverage. That stays with a licensed human.

Licensing

Why a licensed human still binds.

Binding coverage is a licensed act with real consequences for your client and your agency. AI is very good at preparing that work: gathering the facts, drafting the notes, setting the tasks, flagging what is missing. It is not the one who should make the final call.

So EffiZoom is built the way a good agency already runs: the AI does the legwork, and a licensed person decides. Writes that touch coverage are staged for a licensed human. That is a design rule, not a setting someone can switch off.

Myth and fact

What agencies worry about, answered with how it works.

“AI will run off with our client data.”
AgencyZoom stays your system of record. The Connector reads data to act on it and does not store personal identifiers. Claude is used under commercial terms that keep your data out of model training.
“AI will make changes nobody can trace.”
Every person connects with their own AgencyZoom login, so every note, task and status change carries the name of the person who asked.
“AI says it did something, but did it?”
After every write, the Connector reads the record back from AgencyZoom and reports what actually landed. It does not take a success message on faith.
“AI will fill our CRM with duplicates.”
Before it creates a lead, task or ticket, it searches for a match and stops to show you one if it exists.
“AI will bind coverage on its own.”
Binding and coverage decisions stay with a licensed human. The AI prepares the work; a licensed person makes the call.
“AI replaces our team.”
It takes the repetitive lookups and data entry off their plate, so the relationships your team built stay the product.

FAQ

Questions about AI in the agency

Who owns the data when we use EffiZoom?

Your agency. The data stays in AgencyZoom, your system of record. EffiZoom reads it to act on your request and does not keep client personal identifiers.

Can the AI do things in AgencyZoom without us knowing?

No. It acts when a person on your team asks, using that person’s own login, and every action is tied to them. The Architect reads AgencyZoom and does not change it; its imports arrive switched off.

Does a licensed agent still need to be involved?

Yes. Binding and coverage decisions stay with a licensed human. That is a design rule, not a setting.

What happens if the AI gets something wrong?

High-stakes actions run on guided rails: duplicate checks before creates, read-back verification after writes, and an audit trail of what was done and for whom.

See it on your own AgencyZoom.

Connect Claude or ChatGPT in about 10 minutes and ask it about your book. Every action stays yours.
