Mastering AgencyZoom: How to Send Mass Emails to All Clients
Client communication is king. Sometimes you need to reach your entire book of business—or a large segment of it—all at once. Whether it's a holiday greeting, new product announcement, or important policy update, AgencyZoom provides the tools to send bulk emails efficiently. This guide walks you through the complete process with critical testing steps.
When to Use Mass Emails
Important Announcements
Policy updates, carrier changes, office closures, or regulatory changes that affect your entire book of business.
Holiday Greetings
Seasonal messages, birthday wishes, or celebration of agency milestones to maintain relationships.
New Product Launches
Introducing new coverage options, carriers, or services available to your clients.
The AgencyZoom Advantage: The built-in email sender supports "one-time, batch, or automated emails," giving you flexibility to reach clients efficiently while maintaining personalization.
STEP 1
Selecting Your Audience
Learn how to batch select clients using AgencyZoom's powerful filtering and selection tools
Navigate to Customers
From the persistent left sidebar navigation, click the People icon (it looks like two people). This will take you to your Customers View and the customer list.
This view shows your entire book of business in a sortable data table format.
Filter Your List (If Needed)
Before selecting clients, you may want to filter your list to target specific segments.
All Customers Dropdown
Use the dropdown above the data table to apply broad filters
Quick Search Bar
Type directly to find specific clients by name, email, or phone
Me / Team Toggle
Filter by assigned agent if you only want to email clients of certain producers
Data Table Columns
Use various columns to sort your list before selection
Batch Select Your Clients
On the left side of the data table, you'll see a checkbox next to each client's name.
Selection Options:
- Individual Selection: Click checkboxes next to specific client names
- Select Page: Click the checkbox in the header row to select all clients currently visible on the page
- Select All: After selecting the page, look for an option to "Select All" customers within the batch actions
Pro Tip for Large Lists
AgencyZoom's Batch Select includes "Select Page vs. Select All" options. If you have many clients, use the "Increase Page Size Workaround" by adjusting the "Rows Per Page" dropdown in the footer (typically 25, 50, 100, 200) to select more clients at once.
STEP 2
Composing & Designing Your Bulk Email
Create professional, personalized emails using templates and placeholders
Initiate Bulk Email Action
After selecting your clients using the checkboxes, look for an "Actions" dropdown, typically in the top right area of the Customers View.
Click this dropdown to reveal bulk actions, and select the option to "Send Email" or "Bulk Email".
Choose or Create an Email Template
You'll likely be presented with an Email Template selector. You can use a pre-saved template or opt to "Create New."
To access templates directly (before a mass send):
- From the left sidebar, click the Settings icon
- Navigate to "Marketing"
- Look for "Email Templates"
- You'll find a blue "Create Template" button
Craft Your Subject Line and Body
Subject Line Field
Use the "Subject" line field with {{placeholders}} dropdown for personalization
Body Editor
A rich text editor where you'll write your message with formatting options
Leverage Personalization Placeholders
These are crucial for making your mass email feel personal. AgencyZoom supports email placeholders as of the August 2024 release updates.

Sender Details
The name displayed at the top of emails sent from AgencyZoom's built-in sender is directly tied to the Staff Member's name in your "All about my agency" setup. Ensure this is configured correctly for professionalism.
Include an Unsubscribe Link
For compliance and best practices, ensure the "Unsubscribe Link" checkbox is enabled, with an option to "Customize."
STEP 3
Sending a Test Email
The Most Important Step! Never skip testing before sending to your entire book of business.
Critical: Always Test First
Testing is vital for quality control! While there isn't always a dedicated "Send Test" button directly within the bulk send modal, here's the recommended approach to ensure everything looks perfect.
Template Preview
When you're creating or editing an email template (either within the bulk send flow or directly from Settings → Marketing → Email Templates), you'll typically have a preview option that shows how the email will render.
Look for an eye icon or "Preview" button. This is your first check to ensure formatting and layout look correct.
Small Batch Test (Recommended Method)
The most reliable way to test a bulk email is to send it to a very small, controlled group of recipients that includes yourself and maybe a trusted colleague.
Follow these steps:
- 1.Go back to the Customers View (from Step 1)
- 2.Select only your own customer record (if you have one for testing) and a trusted colleague's
- 3.Proceed with the "Send Email" action (from Step 2)
- 4.Send the email to this small test group
Why This Method Works Best:
This allows you to see exactly how it looks in an actual inbox, how placeholders render, and check for any formatting issues—all in a real-world scenario.
Review and Revise
After your small batch test, open the email in your own inbox and thoroughly review it.
Quality Control Checklist:
- Subject line accuracy and appeal
- Personalization placeholder rendering (e.g.,
{{FirstName}}replaced correctly) - Formatting and layout on desktop and mobile
- Link functionality (click every link!)
- Clarity of your call to action
- Grammar and spelling (use spell check!)
- Unsubscribe link is present and functional
If anything is off, go back to the email editor or template and make your adjustments, then repeat the small batch test.
STEP 4
Executing the Mass Send
Once you're confident in your email's appearance and content from testing, execute the full send
Re-select Your Audience
Return to the Customers View and re-select all your intended recipients using the batch select options outlined in Step 1.
Final Review
Double-check your recipient count and the email content one last time within the bulk send modal.
Important Verification:
- •Confirm the number of recipients matches your expectations
- •Verify you've selected the correct template
- •Ensure sender information is correct
Send Your Email
Click the final "Send" or "Send Email" button.
Your email will now be dispatched to your selected clients. AgencyZoom will process the send, and your message will begin landing in client inboxes.
Avoiding Common Pitfalls
To ensure your mass emails are effective and compliant, watch out for these common mistakes:
TCPA & CAN-SPAM Compliance
Always include an unsubscribe link (AgencyZoom offers this option) and ensure your messaging is clear and truthful.
Legal Requirement
Over-sending
Don't bombard your clients. While mass emails are great for announcements, balance them with personalized, targeted communications.
Recommended: Max 2-3 per month
Lack of Personalization
Mass emails don't have to feel impersonal. Always use placeholders like {{FirstName}} to make your emails feel more individual and engaging.
Increases engagement by 26%
Poorly Designed Templates
Use clear, concise language and a clean layout. Avoid too much jargon or overly complex designs.
Keep it simple and scannable
Incorrect Sender
Confirm the "Sender" is set to the appropriate agency or agent name. This builds trust and recognition.
Check: Settings → All about my agency
Skipping the Test Send
The biggest mistake! Always send to yourself first. One typo in a subject line sent to 1,000 clients can't be unsent.
This is non-negotiable!
Understanding Delivery Reports
While AgencyZoom might not have a dedicated "mass email delivery report" button for one-time sends, you can track success and engagement through several methods:
Activity Logging
AgencyZoom offers "Activity logging for calls, emails, texts and tasks." This means individual email activities are tracked within client records.
How to check: Open individual client profiles to see if an email was sent to that specific client. Look in their activity timeline.
Monitoring Key Metrics
For automated sequences, which use the same email sending mechanism, you can track "Open Rates" and "Click-Through Rates (CTR)."
For mass emails: While not aggregated in a single report, high engagement from individual clients indicates success.
- Monitor individual client engagement
- Track reply rates manually
Email System Integrations
If you're using an integrated email system (like Gmail or Outlook), you might be able to find more detailed delivery logs within those platforms.
Check your email provider's sent folder and tracking tools for additional delivery confirmation and analytics.
Automate Your Client Communications
While mass emails are great for one-time announcements, imagine having your client communications completely automated based on lifecycle stages, renewal dates, and specific triggers.
Our Strategy Builder can create complete email sequences with templates, timing, and automation—all customized to your agency's brand voice. Transform manual email campaigns into intelligent, automated client journeys.
Try Strategy BuilderThe Bottom Line on Mass Emails
Mass emails are a powerful tool for reaching your entire book of business efficiently. When done correctly—with proper audience selection, personalized content, thorough testing, and compliance best practices—they strengthen client relationships and keep your agency top-of-mind.
Remember: The test send is not optional. One small mistake caught in testing can save you from a big headache with thousands of clients. Always review, always test, always double-check.
